Managed Medical Inventory for EMS and Healthcare

Depended on by those who care

Valley Medical Logistics is a managed medical-supply restocking service. We track your inventory, place orders as your agent, warehouse your stock, and keep the bins in your restock room filled, so your people can focus on patients instead of par levels.

A bin runs low

Restock bins live in your station, right where your crews already grab supplies. Nothing moves to a new location and nobody counts par sheets — the bins themselves are the signal.

  • Zero process change. The bins sit where your crews already work.
  • No par sheets. Each bin carries its own restock quantity.
  • Nothing to count. A low bin is the whole signal.

Crews scan a QR code

Any phone camera works — no app to install, no login to remember. One scan flags the bin for restock. Requesting a resupply takes a crew member seconds.

  • No app, no login. The phone camera your crew already has.
  • Undo built in. Scanned the wrong bin? One tap fixes it.
  • Scan the next bin. A camera mode chains scans down the line.
  • Safe to re-scan. An already-flagged bin simply says so.

VML refills the bin

Zero effort on your part. Our system identifies exactly what needs restocking, and we send someone to resupply your station from your warehoused stock.

  • Refilled from your stock. Supplies staged at the VML warehouse.
  • Logged every time. Each refill lands in your portal.
  • No crew time spent. Nobody leaves the floor to restock.

VML reorders for you

We place orders through your accounts — your vendors, your negotiated rates. No switching suppliers, no new contracts. We work with what you already use, acting as your ordering agent.

  • Your accounts. Orders placed as your agent, on your accounts.
  • Your pricing. Negotiated rates stay your negotiated rates.
  • Your vendors. No switching, no new contracts.

Distributors ship to our warehouse

You own the inventory from the moment it's purchased. We simply store it for you in our secure warehouse, staged and ready for your next restock.

  • Your property, always. Ownership never transfers to VML.
  • Received and checked in. Every delivery accounted for.
  • Staged for your sites. Ready before your next restock visit.

Inventory management

We receive and account for everything as it arrives — open orders, backorders, returns, and recalls. Lot numbers and expiration dates are tracked, so your supply is always response ready.

  • Orders and backorders tracked line by line.
  • Lot numbers and expirations recorded for recall tracing.
  • Full visibility in your read-only client portal.
What we do

We run your restock room like it's our job. Because it is.

VML acts as your ordering agent. We monitor what you use, order what you need on your own distributor accounts, receive and warehouse it, and restock the supply room at each of your locations on a regular cadence.

What VML handles

  • Tracking — inventory counts, par levels, and usage across every site.
  • Ordering — placed as your agent, on your distributor accounts.
  • Warehousing — your stock received, stored, and staged by VML.
  • Restocking — bins refilled at your stations, logged in your portal.

What you keep

  • Ownership — every item we warehouse and deliver belongs to you.
  • Your accounts — your distributor relationships stay yours.
  • Your pricing — your negotiated rates stay your negotiated rates.
  • Full visibility — inventory, usage, orders, and costs in your portal.
No training required

If your team can scan a QR code,
they already know the whole system.

No software rollout. No training. No app to install and no passwords to forget.

Illustration of the scan page — one tap, with undo built in.

One scan. That's the whole job.

The scan page is deliberately tiny and fast, built to load on spotty station Wi-Fi. It confirms the site and item, offers an instant undo, and a “scan next bin” camera mode lets one person flag a whole room in a single pass.

  • No app, no login. Any phone camera works, day one.
  • Safe to re-scan. An already-flagged bin simply says so.
  • Undo built in. Scanned the wrong bin? One tap fixes it.
  • Straight to our queue. Flagged bins appear on VML's restock dashboard until they're refilled.
Your client portal

Your whole operation, on one screen

Inventory by site, usage over time, orders and backorders, vendor costs — it all lives in your portal, and the overview cards click straight through to the detail.

Who we serve

Built for teams that can't run out

We serve healthcare organizations broadly, anywhere consumable medical supplies need to be on the shelf when they matter.

Fire & EMS agencies

Your station's restock room stays stocked between calls, without pulling crews off the floor to count and reorder.

Clinics

Your restock room stays at par so clinical staff spend their time on patients, not purchasing.

Healthcare organizations

Any organization with recurring medical-supply needs, across one site or many. The same simple system scales with you.

Behind the scenes

Run with the discipline your stock deserves

We hold custody of supplies you own. That's a responsibility we engineered for.

Audit-grade records

Every inventory action is a permanent event. Corrections take seconds and keep the full before-and-after: who, what, and when.

Recall tracing

When lot numbers are recorded, a recall answers in one lookup: which sites and bins received stock from that lot.

Short-dated stock gets used first

Where expiration dates are recorded, soonest-expiring stock is surfaced so short-dated supplies get used before they're wasted.

Your data, isolated

Your organization's data is isolated on every query, and automated security tests verify it on every change we ship.

Backed up, continuously

Nightly backups plus continuous point-in-time archiving to off-site storage, with restores that are scripted and tested.

Hardened by default

HTTPS everywhere, modern password hashing, and rate-limited public endpoints — with a security regression suite in CI.

FAQ

Questions chiefs actually ask

Do we have to give up our distributor accounts or pricing?

No. That's the whole point of our model. We order as your agent, on your accounts, at your negotiated rates. Your relationships and pricing stay exactly where they are — with you.

Who owns the supplies you warehouse?

You do. Everything we receive, store, and deliver is your property from the moment it's purchased on your account. We just handle the logistics.

Do our crews need to install an app or get logins?

No. Restocking is triggered by scanning a bin's QR code with any phone camera — no app, no login, no training. The portal (for chiefs and admins) is a simple website sign-in.

What about controlled substances?

We never handle them. DEA-scheduled and narcotic items are permanently out of scope for VML — your existing processes for those stay untouched.

What can we see in the portal?

Current inventory by site with fill levels and last restock, usage over time, every order with received and backordered quantities and itemized totals, vendor cost history, and the stock we're holding for you at the warehouse. Take the tour.

What happens if a product is recalled?

Where lot numbers were recorded at receiving or restocking, we can trace exactly which of your sites and bins received stock from the affected lot — and act on it.

Where do you operate?

We're based in Utah. If you're nearby and tired of counting supplies, get in touch and we'll talk through whether we can serve you.

Ready to stop counting supplies?

Tell us about your stations, clinics, or facilities and we'll show you how managed restocking would work for your organization. We reply within one business day.
